Patient Billing
Med Group will set up a schedule for your office of how the billing information will be sent to our office. We can pick up the information, it can be mailed, faxed, or, if you are on-line with our system, the demographics and charges can be entered directly into our system from your office.

Once the information is received from your office, a patient account representative will review the demographic and billing information for completeness and accuracy to ensure maximum and timely reimbursement. The information is then entered into our system for billing and tracking.

Insurance Claims
Before any claims are sent out of our office, they are run through our computer software edits. This allows us to complete any missing information before the claims are sent. We then send the claims directly to BCBS, Medicare, and Medicaid and through THIN to all other companies that accept electronic claims. Claims are transmitted via modem to those carriers that accept electronic claims, or printed to paper for those companies that do not accept electronic claims. We immediately receive acceptance and/or rejection reports back for the electronic claims and these are worked to ensure that all claims are being forwarded to the insurance companies for processing.

Patients Statements
Statements are sent out to all patients on a monthly billing cycle. Patient statements show the status of all charges, payments, and any claim filing information. 

Payments
Insurance companies and patients mail payments directly to Med Group. We then deposit the checks directly into the doctor's account. Med Group is not a signer on the account, and we cannot negotiate these payments in any way. We simply make copies of all checks and EOB's and make a deposit in to your account. This allows us to have copies of the payments and correspondence available to us in a timely manner so that we can provide quality collection and follow up services. Any correspondence that requires the doctor's attention will be sent to your office.

Patient/Insurance Telephone Calls
All patient/insurance calls regarding billing questions will be handled through our office by a professional patient account representative. Med Group's staff will take the time necessary to explain charges, the status of claims, update any information changes and happily answer any other billing questions your patient might have regarding their account.

Insurance Follow Up
Med Group works each doctors aging reports on a monthly basis. All accounts over 30 days are traced by
contacting insurance companies to ensure all claims are paid in a timely manner. We also contact any attorneys about letters of protection on your patient accounts to ensure settlement is not made without payment of your bills.

Patient Follow Up
In addition, Med Group will send out a past due letter to all patients that have accounts that are past due. We will then call patients with a balance over $100 to try to collect the account and/or make payment arrangements.

Collection Agency Placement
Med Group will place accounts with the collection agency of the doctor's choice, immediately after the doctor reviews and approves the list of accounts set to go to collections.

We will not place accounts if the doctor does not choose to turn over accounts to an outside agency. We will handle this portion of our service, as we do all of the others, by handling these accounts the way the each individual client prefers.
